- Select the best date for your event.
- Contact the BMCC Events Office for assistance with room/venue selection and reservation.
Create an event budget.
- Consider the cost of catering.
- Consider the cost of printed materials/programs.
- Consider the cost of give-aways (if applicable).
- Consider the cost of space rental (if applicable).
Familarize yourself with amenities available.
- Consider how your audience will participate.
- Consider how speakers and attendees will use the space. (PowerPoint presentations, video, etc.)
- Familiarize yourself with exit locations, restrooms and drinking foundations.
- Know how to handle emergencies; familarize yourself with the location of Public Safety officers in your building.
Plan your event program.
- Work with your event sponsor to refine your program (if applicable).
- Provide speaking remarks for presenters.
- Assign volunteers to help usher guests/attendees (if applicable).
- Plan and conduct a test-run (prior to the event) to minimize any technical or logistical issues.
Promote your event effectively.
- Place your event on the BMCC Calendar.
- Promote your event digitally on TV monitors.
- Promote your event on social media.
- Contact the Office of Public Affairs for assistance with promotion and marketing of your event.
Follow-up and evaluate your event.
- Review your timeline.
- Review the execution of your event.
- Review budget, catering costs and other expenses.
- Consider conducting a survey from event attendees/participants.
