Admin Executive Coordinator – Vice President of Technology

Reporting to the Vice President of Technology and working closely with the Information Resources and Technology Management Team. The Executive Coordinator serve as primary administrative support for the Vice President and performs various confidential and time-sensitive administrative and operational assignments and projects.

The Executive Coordinator is a vital intermediary who exercises keen judgment and initiative to smoothly coordinate office functions, logistics, and information flows. The Executive Coordinator will communicate with internal and external constituents and handle sensitive communications and situations in a professional and congenial manner in accordance with office procedures, and bring significant items to the Vice President of Technology immediate attention.

In addition to the CUNY Title Overview, additional duties will include, but not be limited to the following:

Assist in managing accounts payable and assist with petty cash as needed.

Assist with budget review and OTPS expenditures.

Conduct research on various projects for the Vice President pertaining to topics, individuals, or organizations.

Create, coordinate, and monitor the maintenance, integrity, and security of email database.

Ensure communications are sent in the proper format and are mobile- friendly.

Assist new staff with understanding the organizational culture.

Prepare draft, proofread communications for clarity, grammar, syntax and finalize all correspondence, documents and reports.

Respond to or redirect inquiries sent to the Vice President's Office, providing clear communication on his behalf.

Responsible for office replenishment and supply.

Performs other administrative functions as assigned.

Evening/weekend hours may be required.


Provides administrative support to a Campus or University Executive.

Coordinates office operations such as meetings, communications, events, and reports.

Maintains extensive files and records for the unit.

Maintains accurate calendars, schedules, and key dates.

Collects data for, prepares, and distributes reports and presentations using appropriate technology. Runs basic system queries and reports to provide data.

Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials.

Provides clear communications on the Executive's behalf both within and outside the unit.

May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.


Bachelor's Degree required.

Proficiency in Microsoft Office Suite and Internet applications.

Discretion when handling confidential information.

Excellent organizational, interpersonal, and communication skills.

Attention to detail with the ability to manage several tasks simultaneously.

Exhibit independent initiative and good judgment and work collaboratively with all level administrators.

Professional demeanor, high ethical standards and core values.

Willingness to learn and integrate new concepts and processes.
